Experiment Associates (EXAS)

General information

Experiment Associates shall be scientists, engineers or technicians admitted by the Organization to contribute specialised technical or coordination expertise, on behalf of their home institution, to the execution of experiment-related activities at CERN designated by the experiment collaboration, under a specific collaboration agreement between the Organization, as host laboratory, and their home institution. They shall be employed by their home institution.

Experiment Associates must hold an employment contract on a full-time basis, or on a part-time basis of a least 80%, with their home institution. Experiment Associates must receive a regular salary from their home institution. 

The initial duration of an experiment associate contract cannot be:

  • less than six months
  • more than three years

Experiment Associates are hosted by CERN to participate on behalf of their home institution in a project of an approved experiment, part of the CERN research programme.

The webpage will make it possible to check, for a given experiment, its research programme, if a date of approval exists and if its status is not completed.

The project must be defined in a dedicated collaboration agreement (the “agreement”) between CERN and the home institution. This template must be used.

The collaboration checks that a valid collaboration agreement has been signed and is stored in the K contracts database (SHINY)

Information needed to establish an EXAS contract (NB. prior agreement by the Institute as well as project/group at CERN)

1. Fill in the Registration form and Home Institute declaration.


If applicable, complete the form for Supplement to subsistence allowance due to family situation.


2. Employment certificate issued by the home Institution and last salary slip.

3. Copy of your passport or ID document for the person and if applicable, all the family members included wedding/birth certificates as pdf files.

4. Copy of health and accident insurance certificate for the person and if applicable, all the family members.

5. If you are subject to visa requirements, please request an invitation letter via the CMS invitation letter website (works with CERN account only).
If you have no CERN account,  you can register your account as CERN Lightweight account following the instructions on the CERN Account Management  main page and, once registered, please send a confirmation to the CMS secretariat

Subsistence allowance:

The subsistence allowance is a financial benefit paid by the Organization to an associated member of the personnel in order to compensate for the additional living expenses incurred locally. Under no circumstances is the subsistence allowance to be interpreted as a payment or compensation for any work that may be performed.

Experiment Associates may receive a family supplement, subject to eligibility and within the ceilings set out in Administrative Circular No. 11.


Insurance:

The social insurance is the responsibility of the home institute. Experiment Associates, and any family members who accompany them, must be members of a health and accident insurance scheme that provides them with adequate protection in the two Host States against the economic consequences of illness and accidents, including occupational illnesses and accidents in the case of members of the personnel. Experiment Associates must also have adequate cover for all countries they may visit on duty travel.
